Terms and Conditions
Thank you for your interest in our retreat programming. Please take a moment to review the following information carefully before securing your space in our container.
I. Introduction & Our Agreement
1. Contract Formation and Acceptance
By submitting a deposit, completing a registration form, or submitting any payment for an international or domestic retreat hosted by Verde Holistic Wellness Studio (hereafter "Verde"), you ("the Participant") confirm that you have read, understood, and unconditionally agree to be bound by these Terms and Conditions. This Agreement constitutes a legally binding contract between the Participant and Verde.
2. Scope of Application
These Terms and Conditions apply universally to all retreats curated, hosted, or managed by Verde. These policies are general in nature and govern the entire contractual relationship from your initial registration through our final departure circle, independent of any specific retreat itinerary, focus area, or geographic location.
3. Third-Party Venues and Subcontractors
Verde acts exclusively as an organizer and contracts with independent third-party vendors, including but not limited to lodging providers, transport companies, local guides, and culinary teams. While Verde partners exclusively with aligned, high-integrity spaces, Verde does not own, manage, or control these external entities and is not liable for their operational actions, omissions, delays, or service delivery.
II. Finances, Milestones, & Cancellations
4. Non-Refundable Booking Deposits
To secure a reservation for any Verde retreat, a specified initial deposit must be paid at the time of registration. This deposit represents the immediate commitment of resources, administrative coordination, and the removal of the participant space from the open market. All initial deposits are strictly non-refundable and non-transferable to other participants or future retreats under any circumstances.
5. Mid-Term Payment Milestone (125-Day Window)
Our progressive payment schedule requires a second installment to secure venues and facilitators. To receive a refund of any payments made subsequent to the initial non-refundable deposit (minus any processing or administrative fees), a written cancellation request must be received by Verde at least 125 days prior to the scheduled retreat start date. Cancellations submitted fewer than 125 days prior to the start date forfeit this portion automatically.
6. Final Balance Due Date (35-Day Window)
The remaining balance of the full retreat tuition must be settled in full no later than 35 days prior to the retreat start date. Failure to complete payment by this deadline will result in the automatic cancellation of the Participant’s reservation. Verde reserves the explicit right to retain all previously collected funds and award the vacant space to an individual on our waitlist.
7. Late Registration Policy
For reservations requested and processed fewer than 35 days before the scheduled retreat departure, the option for an installment-based payment plan is waived. The full retreat tuition balance must be paid immediately upon registration to guarantee entry into the sacred space.
8. Forfeiture on No-Shows and Early Departures
No refunds, credits, or partial financial adjustments will be issued if a Participant fails to arrive at the retreat ("no-show"), arrives late to the venue, or chooses to depart the retreat early for any reason whatsoever. Unused components of the retreat package—including meals, lodging, workshops, and scheduled excursions—are completely non-refundable once the retreat commences.
9. Mandatory Cancellation Notice Protocol
All requests for cancellation must be submitted formally in writing via email to contact@verdehws.com. Cancellation timelines and corresponding financial liabilities are calculated strictly based on the date and timestamp of the received email message. Verbal conversations, text messages, or social media direct messages will not be recognized as valid cancellation notices.
III. Cancellation by the Organizer & Force Majeure
10. Verde’s Right to Cancel or Modify
Verde reserves the right to cancel any retreat prior to departure for operational reasons, including failure to meet the minimum participant threshold necessary to sustain the container safely. In the unlikely event of an operational cancellation by Verde, participants will receive a 100% refund of all tuition fees paid directly to Verde. Verde is not responsible for any ancillary or non-refundable expenses incurred by the participant, including flight bookings, passport fees, or travel gear.
11. Force Majeure Clause
Verde shall not be held liable, financially or legally, for cancellations, delays, modifications, or interruptions caused by a Force Majeure event. Force Majeure includes, but is not limited to: acts of God, extreme weather, hurricanes, natural disasters, floods, fires, civil unrest, war, political instability, strikes, government restrictions, border closures, pandemics, epidemics, or any socio-economic emergency beyond Verde's reasonable control. In such events, refunds are not guaranteed, and any financial resolution or credit issuance remains at the sole discretion of Verde management.
IV. Health, Disclaimers, & Participant Responsibility
12. Holistic & Educational Nature of Services
Verde’s retreats are designed explicitly as containers for self-care, holistic wellness, energetic balancing, and personal development. The lectures, physical practices, and experiential workshops led by Crystal Dorado, guest educators (including Dr. Rosita Arvigo), or indigenous wisdom keepers are purely educational and spiritual in nature. They do not constitute clinical medical examination, diagnosis, medical advice, or psychological treatment.
13. Comprehensive Health Disclaimer
Participants bear sole, absolute responsibility for evaluating their physical, emotional, and psychological readiness for the retreat. Due to the intensive nature of physical practices (such as abdominal work and traditional steaming), individuals with underlying health conditions, chronic illnesses, or pregnancy are strictly required to seek clearance from a qualified medical professional prior to booking. Verde and its facilitators assume no liability for medical complications arising during or after the event.
14. Disclosure of Health Conditions and Allergies
Participants must accurately disclose all relevant medical conditions, severe dietary restrictions, allergies, and accessibility requirements during the registration process. While Verde works dynamically with retreat chefs to provide clean, regional food options, the Participant remains entirely responsible for managing their health choices and carrying any necessary personal emergency medications (e.g., EpiPens).
15. Right of Participant Exclusion
Verde is dedicated to protecting the safety, energetic integrity, and emotional harmony of the collective container. Verde reserves the unilateral right to remove or exclude any Participant from the retreat, workshops, or communal spaces at any time if their conduct is deemed disruptive, abusive, threatening, unsafe, or actively detrimental to the well-being of the group or staff. No refunds or travel compensation will be granted under these circumstances.
V. Logistics, Travel, & Documentation
16. Passports and International Entry Requirements
For all international destinations, Participants must possess a valid passport. It is the sole responsibility of the Participant to ensure their passport is valid for at least six (6) months beyond the planned date of departure and to secure any necessary tourist visas, customs declarations, or entry permits required by the host country.
17. Travel Insurance Recommendation
Because our financial milestones are fixed and non-refundable past designated windows, Verde strongly advises and highly recommends that every participant obtain comprehensive personal travel insurance. This policy should ideally include "Cancel For Any Reason" (CFAR) coverage, medical evacuation, trip interruption, and baggage protection to safeguard your financial investment against unforeseen circumstances.
18. Airport Ground Transportation Protocol
Ground transportation to and from the designated regional airport is included exclusively on the specific arrival and departure dates and times outlined in the official retreat itinerary. Participants who choose to arrive early, depart late, or fly into alternative airports are entirely responsible for organizing and financing their own ground transfers.
19. Voluntary Excursion and Free Day Autonomy
The retreat schedule balances structured ancestral workshops with optional excursions and unstructured free time for integration and 1-on-1 sessions. Participation in all scheduled outings, hikes, swims, and cultural visits is fully voluntary. Participants assume all inherent safety risks when exploring off-site environments or engaging in solo activities during open hours, including taking towels or personal items off property grounds.
VI. Legal Liability & Media Release
20. Absolute Assumption of Inherent Risk
The Participant acknowledges that traveling to international locales or rural nature sanctuaries involves inherent risks, including but not limited to: rough terrain, local wildlife exposure, deep emotional processing, physical exertion, changing weather, and varying standards of local public infrastructure. By participating, the Participant explicitly assumes all risks associated with the journey.
21. Formal Waiver and Limitation of Liability
To the maximum extent permitted by applicable law, the Participant agrees to indemnify, defend, and hold completely harmless Verde Holistic Wellness Studio, its owner Crystal Dorado, its employees, independent contractors, guest facilitators, and affiliates from any and all liability, claims, losses, costs, property damage, personal injury, illness, muscle pain, or legal expenses arising directly or indirectly out of the Participant's attendance at the retreat.
22. Indemnification for Property Damage
Participants agree to treat the retreat venue, eco-lodges, ceremonial equipment, and natural environments with deep respect. The Participant accepts full personal financial liability for any physical damage, structural breakage, or loss of property caused by their negligence, intentional actions, or misuse of facilities, and agrees to settle the vendor's repair fees directly.
23. Intellectual Property Rights
All educational materials, workshop structures, specialized lecture content, ritual frameworks, and handouts delivered during the retreat are the exclusive intellectual property of Verde and its primary facilitators. Participants are strictly prohibited from recording, replicating, commercializing, or distributing these teachings for professional or instructional purposes without explicit written consent.
24. Media Release and Photographic Authorization
Verde occasionally captures photography and film during retreats to archive memories and support the future presentation of our healing containers. By participating, you grant Verde a perpetual, royalty-free, worldwide license to utilize your photographic image or video likeness in digital marketing, website content, and social media platforms. Participants who wish to opt out must explicitly state their preference to our media coordinator prior to the start of the retreat.
VII. Miscellaneous & Governing Law
25. Severability of Terms
If any singular provision, clause, or sub-section of these Terms and Conditions is found by a court of competent jurisdiction to be invalid, unlawful, or legally unenforceable, that finding shall not compromise the validity or enforceability of the remaining sections, which shall continue in full force and effect.
26. Entirety of Agreement
These Terms and Conditions represent the final, complete, and exclusive legal agreement between the Participant and Verde regarding retreat bookings. It completely supersedes all prior verbal conversations, text messages, preliminary emails, or marketing brochures.
27. Governing Law and Dispute Resolution
This Agreement and all matters arising out of or relating to the retreat shall be governed by, construed, and enforced strictly in accordance with the laws of the State of Illinois, United States, without regard to conflict of law principles. Any formal legal actions, arbitrations, or disputes must be filed and resolved exclusively in the courts located in Cook County, Illinois.
Participant Acknowledgment & Sign-Off
By checking the confirmation box at registration, completing your digital signature below, or submitting your financial deposit, you formally declare that you have read these terms and conditions in their entirety, accept its parameters, and enter into this sacred healing container with full awareness and consent.
